An air conditioning maintenance contract — a fixed-price annual agreement covering scheduled servicing, priority response and sometimes repairs — is standard practice for commercial premises and increasingly common for domestic clients. Here is a clear guide to what contracts include, how to compare them and whether one is right for you.
What a Good Maintenance Contract Includes
Annual service visit: The core of any contract. A full service as described in our annual service guide — filter cleaning, coil cleaning, drain checking, refrigerant pressure check, electrical inspection and operational test. This is the minimum requirement.
F-Gas documentation: For commercial premises, F-Gas inspection documentation produced at each service visit is a legal requirement. Any maintenance contract for a commercial system should explicitly include this.
Priority response: Contract clients get prioritised over non-contract clients for emergency call-outs. In practice this means a faster response time when something goes wrong — typically same-day for contract clients vs 1-3 days for non-contract clients.
Discounted repair labour: Better contracts include a reduced hourly labour rate for any repairs needed during the contract period. This can be valuable if repairs are needed — though a good contract should reduce the frequency of repairs in the first place.
Parts coverage: Full parts and labour contracts (sometimes called comprehensive contracts) include the cost of replacement parts as well as labour for any repairs needed. These are significantly more expensive than service-only contracts but provide completely predictable maintenance costs. More common for commercial clients with high-value systems.
Domestic Maintenance Contracts — Are They Worth It?
For a domestic single-room split system, an annual maintenance contract typically costs £100-160 per year. The annual service alone costs £95-150 as a one-off — so the premium for a contract over simply booking an annual service is small, and you get priority response as part of the deal. For most domestic clients, a contract is marginally better value than booking individual service visits, primarily for the peace of mind and priority response benefit.
Commercial Maintenance Contracts — Essential
For commercial premises, a maintenance contract is not just good value — it is effectively essential for three reasons:
- F-Gas legal compliance: The contract ensures annual F-Gas inspection and documentation is carried out — a legal requirement
- Business continuity: Priority response means shorter downtime when a fault occurs — important for any business where air conditioning failure would affect operations
- Budget certainty: Fixed annual cost is easier to budget than unpredictable repair bills
What to Look For in a Contract
Ensure the contract specifies: exactly what is included in the service visit (not just “annual service”); response time commitments for emergency call-outs; whether F-Gas documentation is included; what the callout charge is for repairs (some contracts have zero callout for contract clients); and whether the labour rate for repairs is discounted.
